Internship Week 11
The 11th week at Youthbuild Charter School, also the second week of switching to Gmail from Outlook. Continued from last week, our IT team have finished the installation of Google sync tool on all staff's computer and make sure they work propertly, but there still a lot staff not getting used to it although gmail is running on a exchange interface.
I resolved a lot help desk request in this week, most of the request are related to functional issues such as email delay, calendar share, archive fodder missing, and address book issue. For email issue, we can't resolved that issue, because Gmail is not running on the intranet, the email will going through the server from google, and the sync tool will do the synchronization every ten minutes, it would takes about 1-3 minutes for recipient to receive their email. For calendar issue, user can view their calendar and events infomation on Outlook, but user can't create it on Outlook interface because Microsoft and Google are competitor, some of the features are not compatible to each other. The solution for this issue is the create the event, note or meeting on Gmail at web browser, and share to the person you want, so other person can see it on Outlook. I also found the solutions of archive and address book issue, I created a FAQ document, combined every question they asked and provide the solutions for the question, in case that prevent us to answer the repeated questions.
Other mission I have done was training the new intern. He had a brief understanding and knowing how's the IT team work in Youthbuild Charter School, we trained him in active directory, mapping network drive as well as installing the system and software, also the google network account training etc.

Internship Week 10
The 10th week at Youthbuild Charter School, also the first week of switching to Gmail from Exchange. I mainly focused on the troubleshooting of the Google app sync exchange tool, continued the work from last week after we switched to Google, I created a user guide for staff and it will lead them to finish the installation. But seems like the user guide wasn't reach my expected, a lot staff got error messages during the installation, and they sent help request hope to get assistance from IT team. It's difficult to explain it clearly on email, so we have to stop by their office and do the installation.
That would be the big challenge for me because our school have about hundred of staff and their offices are settled on 3rd and 5th floor, I need to move back and forth between the floors to do the software installation and make sure the software are in their computer. one thing that inconvenient to me during the installation was timing issue, sometimes staff went out for meeting or they having class time, even day-off, and I don't have access to their office, it delayed the project and my workload had increased. But, I tried my best effort to finish the project in this week, although it took more time than I expected.
The other task I have done in this week was training for new IT intern, because this is twelve weeks rotational internship and I'm about to leave within three weeks. My supervisor had pass the training task to me, he believed that I have capability to teach new intern. I take a walk the building with new intern and show the computer labs and server rooms. Also I briefly talk about the school and our duty of work, tested some IT skill and see how much he knows about computer.
In addition, I provided help desk for staff to solved their hardware as well as software issue, such as swap monitor, Ethernet cable, projector issue and user login issue, etc.

The 9th week at Youthbuild Charter School, I have two main tasks, one is get prepare for the Google Migration, my supervisor and his assistant had working for the Google Migration for a month, and we are planning to operating this project on this Friday. The other one is to create a job post and assist my supervisor to filter the candidates, my supervisor is seeking next intern candidates, so he wants me to posted a job recruitment on indeed.
And my supervisor had sign up on Penn State Nittany Lions to seeking intern in Penn State, because he has good impression with me throughout my internship period. I filtered out some applicants and print the list and resumes stuff, he will pick candidates which most fit his expected criteria and make a schedule to interview the candidates on this coming Friday. I will be one of the interviewer there too, and I need to prepare the questions I'll ask the candidates.
For the preparation of Google Migration, we migrated all the email, calendar, and files from the school servers to Google servers, and I need to create a user guides for our staff, so they can get started it easier. Microsoft Exchange is our primary communication tool for business between staffs and they had been using it several years, they were get used to the user interface and features of MS exchange. We use a tool called Google Sync for Microsoft Outlook, it allows to use Gmail on Outlook's interface, send and receive email, view contacts, calendar and notes, all those functions are similar to Outlook.
In addition, I provided help desk for staff to solved their hardware as well as software issue, such as swap monitor, Ethernet cable, projector issue and user login issue, etc.

Internship Week 8
The 8th week at Youthbuild Charter School, I started to work on a new project, iPhone 7 has released recently, the school was planned to do a work cellphone trade-in with Verizon, this project has assigned and executed by IT team. Beside that, due to this trade-in project, all staff need to backup their data on their old phone, so I provided assistant to all staff if they need.
In this project, my responsible for collect the cellphone status from all staffs and create a list to record it, the content of the list included cellphone models that staff were using, check if their cellphone is damaged or not, cellphone number, and what phone model and capacity they expected, etc.
Beside the list, I also need to help some staff to do the iCloud backup, because about half of he staff were using android OS on their personal cellphone, they might not familiar with the apple OS. As I know that iOS 10 were pre-installed on iPhone 7, to import the data from old phone, the OS for both old and new phone must be syncthonized, otherwise, it will fail due to the difference version of OS.
The challenge part in this project was updating to iOS 10 would took a lot of time, about 30-45 min for every phone, and our school has about one hundred staff, I have to perform the update, restore the backup, setup the new phone, and email stuff at the same time. In the other hand, I also need to handle the help desk request send from other staff. Fortunately, two staff from Verzion they were help and guide me during the project, that make it easier.

Internship Week 7
The 7th week in Youthbuild School, I started to work on the Cisco project, in this project, I need to solve the WiFi issue that lead to the slowness access speed. The other one is hardware project, we received several used computer donated by our sponsor and companies.
Things I need to do is check the computer see if they work, and wipe all data on the hard disk, reinstall the windows 7 system. If it's not work, disassemble it and check the components and see if they are work or not. Some of their components were bad or missed, mostly are CD-ROM and hard disk, if there is a hard disk issue, I need to check if there is a spare one, if not, it will be move to trash room. If the issue is on CD-ROM, just take a good one from the other and replace it, so I can load the cd-disk to reinstall the system. I also need to classify all, for those computer use a cpu premium 4 or lower and 2 GB RAM or lower, it would be tagged for student use, for the iCore cpu and 4 GB RAM, it would be tag for staff use. I put my best efforts to build as much as I can, and I successfully completed the task.
There are some clients complained the connection issue of WiFi and slowness of loading when they access the internet. I did a WiFi speed test and record on five different position in the building, the result I got from the test, it's around 20-30 MB/s which is good, the upload/download speed is fine, but it takes a while to connect to the server, my supervisor suggest me to call Cisco to lookup the solution. So I made a call to Cisco and explain my situation, the agent from Cisco told me to check the switch configuration, verify AP if the AP is running in good health, and check for EMI devices to see if they are nearby. It doesn't seems helpful after I tried those method, finally, Cisco recommend a technician to come to our school and assist us to solve the problem next week.

Internship Week 6
In this week, I worked hard on the Google Classroom, explore and learn more feature of it, because there were a lot help desk requests send from staff, they having problem on the usage of Google Classroom. Some of the staff complain that their computer are running slow and require to replace new device.
Since the school started using Google Classroom two week ago, I received a lot help desk request from staff which has questions on how to create the class, how to get access to classroom, how to invite multiple student at once, etc. So I created an instruction by using pictures and texts to show the steps of procedure. To create the class, when users sign in to Classroom for the first time, they identify as teachers or students. Users who identify as teachers are sent a request to administrator. As the administrator, I need to approve their request and then set the teacher permissions on the school domain to added them to the teacher group, so they have the privilege to create class.
The challenge on this week was replace computer for staff who are using slow machine. For half the staff, they are still using donated or refurbished computer, due to this reason, school ordered some new computer for staff who are still using the slow machine. I have to set up the computer, join the domain, install necessary software, outlook and printer configure. All the works has to be done within 3 days, and meanwhile, I need to process all help desk request from staff. Finally, I finish this project on time.

Internship Week 5
In week five, I started to working on a new project by using active directory, because there have couple new staff were hired, and some staff had move to different department. Active Directory is a directory service that Microsoft developed for Windows domain networks. It is included in most Windows Server operating systems as a set of processes and services.
I created staff's user id in windows domain network at domain controller, and school email as well. And the meanwhile, the school provided new machine for new staffs, then I need to set up, install, update the new laptops for them, and modify the staff device checklist as well, like computer model, and serial number.
Due to the increasing of staff members, the school was planing to purchase more facilities store for future use. I did the searching on both dell and hp, compare the prices and customize the components to build the most cost-effective machine, the standard setting/requirement for business use, i7-core, and 8GB ram. I did pretty well on this project.
There were success in this week, I did well on created new staff in active directory, set up new machine and staff checklist, and also the facilities quote pricing. The most challenge part in this week was the water leakage issue. The school was closed on Thursday due to the water leaking on the ceiling, some machines encountered water damage and would not able to work properly. On Friday, one of our printer was offline due to the water leakage, I have to deal with the help desk requests from other staffs and other hand, I need to check which part of the printer got damage. The good news was, the printer is fine, only the network switch got damaged, I grab a spare switch from server room and try it on, finally, the printer is back on working.

Internship Week 4
In week four, my major project in this week were continued on the password recovery for non-admin users; Use IMAP to connect Microsoft Exchange with gmail account; Set up Google Classroom for teachers and students. IMAP was designed with the goal of permitting complete management of an email box by multiple email clients. The configuration on Outlook is simple, but it's difficult to keep it's difficult to maintain the connection with gmail, the connection with server is disconnected every ten minutes. Finally, me and my boss decided to use outlook sync tool instead of IMAP.
There are some successful project I did in this week, password recovery issue and Google Classroom. To deal with the password recovery issue, I made a phone call to Google Support, through the call with Google, the best solution was set up the system to allow the non-administrator users to reset their passwords on their own, so users need to have set up a recovery phone number where they can use text message to receive their recovery code.
Google Classroom was designed hand-in-hand with teachers to help them save time, keep classes organized, and improve communication with students. First of all, I made a several teacher and student accounts for testing, I take screenshot for each step with texts description and send it to teachers and students, so let them know how to use this product.
There is a challenge in this week, a power outage occurred in Thursday night, servers, computers, phones, internet were down. It's a big challenge in this week because as an network assistance, my task is assist my boss to make the server up, in other hand, I need to process help desk requests, and the help desk requests were increased dramatically due to the power outage. However, servers were restore and all help desk request were resolved.

The 3rd week, Monday the school was closed due to the Labor Day, I'm off on that day. In this week, one of the major mission is to check out the computer lab to ensure all machines work normally. I collected the data of wifi speed test on iphone and laptop and then send them to vendor, and also I will contact the vendor to improve the connecting speed and signal issues, I did really well on this mission. The second mission is to solve the password reset for non-admin users on Google for Education, the purpose to do so is to allow non-admin users able to reset their password by their own.
The big challenge of this week was paper jammed, I received several help desk requests from staff, ask for solve the printer issues. There is an error message show on printer says that is paper jammed, I checked couple times on the location that hint by the printer and I couldn't find the jammed paper, eventually, I found it on the paper feeder, it's a very small piece of teared paper jammed at the inner edge, and it's very difficult to touch it, finally, it took me about an hour to get it out from printer. I also solved all help desk request from staff, like cellphone issue, outlook issue, etc.
There is a failure on this week, it's the user password reset for non-admin, on Google for Education, It only allow user reset their password through receive pass code from cellphone. In our organization, there are thousands of staff and student registered, not every student has cellphone, and we received the help desk requests everyday for password reset for student, if this issue can solved, that will be great and it save a lot of time and I can focus on another mission. I will make a contact to Google and find the solution for it next week.
